Customer self-serve rescheduling

Let customers move a booking to a new time themselves — no phone call, no cancel-and-rebook.

Bookings

Today a customer can cancel a booking from the secure link in their confirmation email, but if their plans change they have to cancel and start again. Rescheduling turns that into one step: the same tokenized link will let them pick a new available slot and confirm it instantly.

Payments, deposits and participant details carry over to the new time automatically, your calendar (including Google Calendar and Zoom/Google Meet events) is updated, and both sides get a fresh confirmation.

What's coming

  • A "Reschedule" option alongside "Cancel" on the customer's booking-management page.
  • Live availability for the same service, respecting your buffers, limits and lead-time rules.
  • Deposits and payments transfer to the new slot — no refund/re-charge round trip.
  • Connected calendar events and video-meeting links are moved, not duplicated.
  • Configurable reschedule window, separate from your cancellation window.

SMS reminders & notifications

Text-message confirmations and reminders that cut no-shows dramatically.

Notifications

Email reminders already go out automatically on the schedule you choose per service. SMS adds the channel customers actually check: a short text confirmation when they book, and a reminder before the appointment with their booking details and management link.

SMS will ride on the same per-service reminder settings you use today — you choose the timing once and both channels follow it.

What's coming

  • Booking confirmation and reminder texts, per-service opt-in.
  • Same scheduling controls as email reminders (e.g. 24 hours before).
  • Customer phone numbers you already collect at booking are used — nothing new to set up.
  • Delivery tracking alongside your existing email notification log.

Flexible cancellation & no-show policies

Set your own cancellation window, and optionally charge cancellation or no-show fees.

Bookings

Right now customers can cancel up to 24 hours before their appointment. That window is becoming yours to control: make it 2 hours for a coffee tasting or 7 days for a fully catered event.

For businesses that take card payments, policies can also have teeth — keep a deposit on late cancellation, or charge a no-show fee — with the policy shown clearly to the customer before they book.

What's coming

  • Per-business (and later per-service) cancellation windows.
  • Optional late-cancellation and no-show fees, taken via your connected Stripe account.
  • Deposit retention rules — e.g. "deposit refundable up to 48 hours before".
  • Your policy displayed on the booking page and in confirmation emails.

Staff & team scheduling

Multiple team members, each with their own services, hours and calendar.

Team

The biggest item on the roadmap. Today availability belongs to your business and your services; staff scheduling adds people to the model — so a salon, clinic or studio can offer "book with Sarah" and have Sarah's hours, days off and Google Calendar drive what customers see.

Customers will be able to pick a specific team member (or "no preference" for the first available), and every booking gets an assignee — powering per-staff diaries, notifications and reporting.

What's coming

  • Invite team members to your business with their own logins and permissions.
  • Per-staff weekly hours, time off and services offered.
  • Staff picker on the booking page, with photos and bios.
  • Per-staff calendar view and connected Google Calendar sync.
  • Reporting by team member — bookings, revenue and utilisation.

Waitlists

Fill cancellations automatically — customers join a waitlist for full slots and get first refusal when space opens.

Bookings

When a class or time slot is fully booked, the booking page will offer "join the waitlist" instead of a dead end. If a place frees up — a cancellation, or you increase capacity — waitlisted customers are notified in order and given a time-limited link to claim the spot.

What's coming

  • Waitlist option on full group classes and fully booked time slots.
  • Automatic email (and, with SMS, text) notification when a place opens.
  • Time-limited claim links so a spot passes to the next person if unclaimed.
  • Waitlist view in your dashboard so you can gauge real demand for adding sessions.

Packages, memberships & gift cards

Sell 10-class passes, monthly memberships and gift vouchers — prepaid revenue your customers redeem over time.

Revenue

Coupons already let you discount a booking. This goes further: sell value up front. A yoga studio sells a 10-class pass; a barber sells a monthly membership; anyone can sell a gift card a customer sends to a friend.

Each product is purchased through your existing Stripe checkout and then redeemed against bookings automatically — the booking page recognises the customer's remaining balance or entitlement.

What's coming

  • Class passes / punch cards with a set number of redemptions and optional expiry.
  • Recurring memberships billed through Stripe with included bookings or member pricing.
  • Gift cards with custom amounts, personal messages and email delivery to the recipient.
  • Balances and redemption history visible to you per customer.

Custom intake forms

Ask your own questions at booking — per service, required or optional.

Bookings

Bookings currently collect name, email, phone and a notes field. Intake forms let you build the questions your business actually needs: dietary requirements for a tasting, experience level for a lesson, consent confirmations for a treatment.

Answers are stored on the booking, shown in booking details and included in your calendar event and confirmation emails, so the information is where you need it on the day.

What's coming

  • Form builder with text, choice, checkbox and yes/no question types.
  • Per-service forms — different questions for different services.
  • Required vs optional questions, with answers on the booking record.
  • Answers available over the API and in webhooks for your own systems.

Embeddable booking widget

Put your booking flow on your own website with a copy-paste snippet.

Booking page

Your hosted booking page isn't going anywhere, but many businesses want booking to live on their own site. A small embed snippet will render your services and live availability inside any page — WordPress, Squarespace, Wix or hand-built — matching the theme colours you've chosen.

What's coming

  • Copy-paste script/iframe embed with your branding and theme.
  • Full flow in the widget: service, time, details, payment.
  • A compact "Book now" button variant that opens the flow in a popup.
  • Works alongside the AI chat widget you can already embed today.

Recurring bookings

Let customers book a repeating series — every Tuesday at 10, in one go.

Bookings

For personal trainers, tutors, therapists and weekly classes, the same customer books the same slot again and again. Recurring bookings let them set the series up once: choose a frequency, see any dates with conflicts, and confirm the lot.

Each occurrence remains an individual booking underneath — so one session can be moved or cancelled without touching the rest of the series.

What's coming

  • Weekly / fortnightly / monthly repeat options with an end date or session count.
  • Conflict detection across the whole series before confirming.
  • Pay per session or for the series up front.
  • Manage individual occurrences independently of the series.

Automated follow-ups & review requests

A thank-you email after each appointment that asks for feedback and routes happy customers to your Google reviews.

Growth

The hours after an appointment are when a customer is most likely to leave a review — and when a quiet follow-up feels most personal. Automated follow-ups send a configurable email after the appointment ends: thank the customer, ask how it went, and invite them to review you on Google, Facebook or Trustpilot.

Feedback comes back to you first, so you hear about problems privately while your best experiences become public reviews.

What's coming

  • Configurable delay after the appointment (e.g. 2 hours, next morning).
  • One-click satisfaction rating, with positive ratings routed to your review profiles.
  • Private feedback capture for everything else.
  • Per-service opt-in and message templates, like reminders today.

An optional login for your customers to see upcoming and past bookings in one place.

Customers

Booking today is deliberately friction-free — no account needed, everything managed from email links. A lightweight optional portal adds a home for your regulars: their upcoming appointments, booking history, receipts, and (with packages) remaining pass balances — plus faster rebooking with saved details.

What's coming

  • Passwordless sign-in by email — no new passwords for customers to forget.
  • Upcoming bookings with reschedule/cancel, plus full history and receipts.
  • One-tap rebooking of a previous appointment.
  • Entirely optional — guest booking stays exactly as it is.

Customer tags, notes & import/export

Turn your customer list into a working CRM — organise, annotate and move data freely.

Customers

You already get a customer record for every booker, with totals and booking history. This adds the tools to work that list: tags ("VIP", "lapsed", "allergy"), private customer-level notes, and clean CSV import/export so your data is never stuck — bring customers in from a spreadsheet, or take your list anywhere.

Tags will also plug into the newsletter, so a campaign can target a segment instead of everyone.

What's coming

  • Custom tags with filtering on the customer list.
  • Customer-level notes (in addition to today's per-booking notes).
  • CSV import with duplicate matching, and one-click export.
  • Newsletter audience segments built from tags and booking activity.

Newsletter automation journeys

Multi-step email sequences that run themselves — welcome series, win-backs and post-visit journeys.

Growth

The newsletter can already send campaigns and single event-triggered emails. Journeys chain steps together: a welcome series for new subscribers, a "we miss you" sequence for customers who haven't booked in 90 days, or a post-appointment series that educates and upsells over a few weeks.

What's coming

  • Visual sequence builder: trigger → wait → email → condition → email.
  • Triggers from booking activity, subscription date and (with tags) segments.
  • Per-step performance stats — opens, clicks and bookings generated.
  • Automatic exit when the goal is met (e.g. the customer books again).

Reports & insights

A proper reports section — occupancy, revenue trends, busiest times, and CSV export everywhere.

Analytics

Your dashboard shows the headline numbers; reports go deeper. How full are your classes really? Which weekday earns the most? Which services are growing and which are quietly dying? A dedicated reports area will answer these — and every table will export to CSV for your accountant or your own spreadsheets.

A live iCal feed of your bookings, and a Zapier app for connecting everything else.

Integrations

Every booking already produces an add-to-calendar file, and developers can use signed webhooks today. Two additions make integrating effortless for everyone else: a private subscribable iCal URL that keeps Apple/Outlook/Google calendars continuously in sync, and a Zapier app that turns "new booking" into an action in the thousands of tools Zapier reaches — no code required.

What's coming

  • Per-business (and later per-staff) read-only iCal feed URLs.
  • Zapier triggers for bookings created / cancelled / refunded and new customers.
  • Zapier actions for creating bookings and customers.

Your brand, your address bar. Point a subdomain you own at Appointment Tools and your public booking page — services, availability, checkout — is served from it, with SSL handled automatically.

What's coming

  • Connect a domain with a simple DNS (CNAME) step and guided verification.
  • Automatic SSL certificates — no configuration on your side.
  • All booking links, QR codes and confirmation emails use your domain.
